FAQs
Can it be wrong?
Yes. It works by finding relevant passages in your documents and writing an answer from them, and that process can misread, over-generalise or miss a caveat. Every answer names its sources so the reader can check, and we train your team to open the source for anything with money, contracts, safety or an employee at stake. Treat it as a fast way to find the right page, not as an authority.
What happens to our documents?
The indexed text is stored in an instance configured for your business, and passages relevant to a question are sent to the AI provider to generate the answer. We configure the deployment against the provider terms you choose, and where the provider offers a no-training option for business accounts we set that on. You remain the data controller for your own material throughout, and we tell you before setup exactly which provider will receive what.
What does the AI usage cost?
The provider bills you directly for the tokens the assistant consumes, against an account in your own name. Cost depends on how many staff use it and how long the answers are, and providers change their prices without consulting us. We will estimate a monthly range from your expected question volume before you commit, and we can set a spend cap on the provider account, but we do not control or resell those charges.
What if we want it to read a lot more than 500 documents?
The 500-document figure is what the setup fee covers, and larger sets are quoted per additional batch before any work starts. Scope is agreed in writing at the source-review stage precisely so this does not become an argument later. If your material turns out to be in a form that cannot be indexed sensibly, we tell you at that point rather than after taking the fee.
Refund & cancellation
What happens if you change your mind, and what happens to money already paid.
Cooling-off before work starts
You have 7 days after ordering to cancel while work has not yet begun. Up to 25% may be retained to cover scoping and scheduling already carried out.
Work already done
Once delivery has started, refunds are assessed against the work completed and the deliverables already handed over — the list under “what you get” above is what that assessment is made against. Approved refunds are processed within 14 days.
