What's not included

  • AI model and API usage per page processed, billed by the provider directly to your own account
  • Any accuracy guarantee — extraction will be wrong on some documents, which is why human approval is mandatory and why we do not offer an unattended mode
  • Approving, posting or paying anything: the pipeline assists the person who checks it and never makes the decision to accept a document
  • Handwritten documents, poor-quality scans and layouts outside the three agreed at build
  • Bookkeeping, tax treatment, coding to accounts or any accounting judgement
  • Changes at the AI provider affecting model behaviour, pricing or availability

Anything outside the scope above is quoted separately, in writing, before it is carried out. Nothing is added to your bill without your agreement.

FAQs

How accurate is it?

We do not quote a figure, because it depends entirely on your documents and anyone quoting one before seeing them is guessing. The parallel run exists to measure it on your actual material before you rely on it, and you see that number before switching over. If the sample review suggests the layouts are too inconsistent, we say so and refund rather than build something that will not work.

Can it post straight into our accounting system?

Only after a person has approved the record. We deliberately do not build an unattended path from extraction to a financial system, because a misread total that posts itself is a much more expensive problem than a queue somebody clears each morning. The approval step is a few seconds per document and it is what makes the rest safe.

What happens to the documents we send through it?

Document images and text are sent to your chosen AI provider for extraction, and both the original and the extracted record are stored in the pipeline for audit. We configure this against the provider terms you hold, with no-training settings enabled where available, and we will exclude document types you do not want leaving your systems. You remain the data controller, including for any personal data on the forms.

What does processing cost per document?

The AI provider charges per page processed and bills your own account directly. Once we have seen your samples we can give a per-document range and a monthly estimate at your stated volume. Providers reprice and retire models on their own schedule, so treat any figure we give as an estimate rather than a fixed rate.

Refund & cancellation

What happens if you change your mind, and what happens to money already paid.

Cooling-off before work starts
You have 7 days after ordering to cancel while work has not yet begun. Up to 25% may be retained to cover scoping and scheduling already carried out.
Work already done
Once delivery has started, refunds are assessed against the work completed and the deliverables already handed over — the list under “what you get” above is what that assessment is made against. Approved refunds are processed within 14 days.
