What's not included

Just as plainly as the list above: the things this package is not.

  • AI model and API usage per message processed, billed to your own account by the provider
  • Sending, deleting or archiving mail: every reply is sent by a person after reading it, and no message is removed from the inbox automatically
  • Any guarantee of correct labelling or prioritisation, including that an urgent message will always be marked urgent — the mailbox must still be read by a person
  • Email hosting and mailbox licence fees, paid to your email provider
  • Additional mailboxes, each quoted separately
  • Changes at the AI or email provider that require the setup to be rebuilt

Anything outside the scope above is quoted separately, in writing, before it is carried out. Nothing is added to your bill without your agreement.

FAQs

Can it send replies by itself?

No, and that is a design decision rather than a limitation we plan to lift. Drafts are saved to the drafts folder and a person reads, edits and sends them. An automated reply that misreads a complaint or agrees to something on your behalf is a far bigger problem than the few seconds saved.

What if it marks something urgent as routine?

It will happen. Priority is a judgement made from wording, and unusual phrasing, a forwarded thread or a terse message from a major client can all be read wrongly. The mailbox still needs a person looking at it, the triage changes the order rather than removing the need to read, and the monthly report lists the misses so the labels improve.

Does our mail get sent to an AI provider?

Yes, message content and subject lines are sent to your chosen provider to produce the labels and drafts. We configure this against your provider terms with no-training settings enabled where offered, and we can exclude nominated senders or categories from processing entirely. You remain the data controller for the mailbox and should reflect this in your privacy notice, particularly if customers send personal data to that address.

What does it cost to run, and can we stop?

Our monthly fee covers configuration, retuning and reporting; the AI provider bills your own account per message processed, and on a busy inbox that is the larger of the two figures. We estimate it from your volume before you start and can set a spend cap. The plan is rolling monthly, cancellable in writing before renewal, and on cancellation the labels remain in your mailbox because they are yours.

Refund & cancellation

How this plan is cancelled, and what happens to money already paid.

Cooling-off before work starts
You have 7 days after ordering to cancel while work has not yet begun. Up to 25% may be retained to cover scoping and scheduling already carried out.
Cancelling this plan
It continues, period after period, until you cancel in writing. A monthly plan needs 30 days' notice. The service runs to the end of the period you have already paid for.
Work already done
Once delivery has started, refunds are assessed against the work completed and the deliverables already handed over — the list under “what you get” above is what that assessment is made against. Approved refunds are processed within 14 days.
If we cannot deliver what is described here
You are refunded. The scope on this page is the scope we are held to, which is exactly why the exclusions above are stated before you buy rather than after.
