This is the search product rather than the conversation product. Where the AI Business Assistant writes an answer for you, this returns the source passages ranked by relevance and leaves the reading to a person, which suits material where the exact wording matters. It is also the sensible first step if your documents are a mess, because the tidying it forces is worth having regardless.

What's not included

Just as plainly as the list above: the things this package is not.

  • AI model and API usage for indexing and search, billed to your own provider account by the provider
  • Any warranty that a search returns everything relevant, or that the indexed documents are themselves correct or current — the knowledge base surfaces what you gave it
  • Rewriting, correcting or reconciling contradictory documents, which we flag but do not fix
  • Scanning or transcribing paper records
  • Ongoing hosting, re-indexing and storage costs after the first 30 days
  • Dependence on your chosen provider remaining available at the same price and model versions

Anything outside the scope above is quoted separately, in writing, before it is carried out. Nothing is added to your bill without your agreement.

FAQs

What if our documents contradict each other?

They probably do, and the ingestion report will show you where. We flag duplicates, conflicting versions and files with no owner, but we do not decide which one is right, because that is a business judgement your document owners have to make. In the first month that report is often the more useful half of the delivery.

Is this the same as the AI Business Assistant?

No. This returns your actual passages with links to the source, which is what you want where exact wording matters, such as procedures and contracts. The assistant writes a summarised answer across several documents, which is faster to read but adds a layer that can misstate things. Some customers run both, with search as the authority and the assistant for orientation.

Where is our material stored and who can see it?

The index runs in an instance configured for your business with the permission structure we agree, and text is sent to your AI provider only to generate the search embeddings and rank results. We set the deployment up against the provider terms you hold, with no-training options enabled where offered. You remain the data controller and we can produce a written record of exactly which documents were ingested.

What are the ongoing costs?

Indexing has a one-off provider cost at setup and searching has a small per-query cost, both billed by the AI provider directly to your own account. Storage and hosting also continue after the build and are yours to pay. We size the likely monthly figure during the inventory stage, but provider pricing is theirs to change, not ours.

Refund & cancellation

What happens if you change your mind, and what happens to money already paid.

Cooling-off before work starts
You have 7 days after ordering to cancel while work has not yet begun. Up to 25% may be retained to cover scoping and scheduling already carried out.
Work already done
Once delivery has started, refunds are assessed against the work completed and the deliverables already handed over — the list under “what you get” above is what that assessment is made against. Approved refunds are processed within 14 days.

You are refunded. The scope on this page is the scope we are held to, which is exactly why the exclusions above are stated before you buy rather than after.
